Out of Compliance Procedures

First Step

When a student falls out of compliance, they will be contacted by a member of the Office of Compliance. By the time a student is marked as "non-compliant" in Complio, they have received notifications for 60 days regarding their upcoming expiration, therefore the email from the Office of Compliance will be sent for the following purposes:

  • Confirm the student's status as "non-compliant"
  • Request an action plan for regaining "compliant" status
  • Inform student of escalation process if action is not taken within 10 calendar days

A student will have 10 calendar days from the date of expiration to either become compliant or submit an exception request, approved by the Office of Compliance.

Students are expected to respond to emails from the Office of Compliance, even if they believe they are in compliance or feel that they have already addressed the area of non-compliance.

Second Step

If no action is taken by the non-compliant student within 10 calendar days, the Office of Compliance will proceed in the following manner:

  • Contact the non-compliant student's academic program to inform them of the pending suspension of the non-compliant student's access to the Desire2Learn (D2L) learning management system, and that the non-compliant student should be suspended from participating in their current or upcoming clinical placements.
  • Suspend the non-compliant student's access to the Desire2Learn (D2L) learning management system.

OTD Program Specific Out of Compliance Procedures

As soon as the OTD program is alerted of a student’s non-compliant status, the student will receive a Notification of Concern (NOC). 

If a student receives two or more Notifications of Concern for any reason, the student will be referred to the Committee on Academic Policies and Procedures (CAPP.)

Regaining Compliance

Once a previously non-compliant student regains compliant status, their access to D2L will be restored and their academic program will be contacted.

*Access to D2L will be returned to the student once a satisfactory plan to regain compliance is communicated to the Office of Compliance or the student uploads documentation to fulfill the requirement and it is approved.

(Important: Institute hours of operation are Monday through Friday, 8am to 5pm. Student access to D2L can only be returned during these hours.)
