Faculty Sick Leave Policy and Procedure

Policy Compliance Responsibility: Human Resources, Provost, and Department Chairs, Directors, or Deans

Eligibility - All permanent faculty working 50% time (0.50 FTE) or more on 12-month and 10-month appointments are eligible to accrue and use sick leave.

Earning/Accrual of Sick Leave - Eligible faculty are given a bank of 90 sick days at the beginning of each fiscal year (October 1).

Conditions of Usage – Sick leave benefits are designed to provide for continuation of income during times of illness. Sick leave is not to be considered as an alternative form of vacation time, compensatory time, holiday leave, or time off for personal business. Sick leave may be granted to a faculty member whose absence is due to illness or communicable disease in the employee’s immediate family or household.

Time off must be submitted in the Time Off System and forwarded to the appropriate academic program director, department chair, or dean for approval within three working days after returning from illness. The department chair or dean may request time off for a faculty member if he/she is unable to do so. Time charged against sick leave may not exceed the maximum of 90 days. Sick leave may not be carried over from year to year.

Sick leave is not payable upon retirement, resignation, discharge, or dismissal. Sick leave may not be used to extend a termination date.

Vacation

Vacation policies for twelve- and ten- month appointments are described below.

Faculty must get pre-approval for vacation or leaves from department chair, director, or dean.

i. Twelve-month appointments

Faculty members on twelve-month appointments with 1.0 FTE accrue 21 days of paid vacation. Vacation days are to be used between October – September 30.  Any unused vacation will be forfeited on October 1. For new appointments beginning after October 1, vacation time will be prorated during the first year. Vacation for part-time faculty members is prorated based on FTE status.

ii. Ten-month appointments

Faculty members on ten-month academic year appointments are expected to work between August 15 and June 14. They accrue 18 days of paid vacation to be used during the 10-month period. Unused vacation days may not be carried over from year to year. For new appointments beginning after October 1, vacation time will be prorated during the first year.

Time off must be submitted in the Time Off System and forwarded to the appropriate academic program director for approval prior to taking vacation time.

Unused accrued vacation time will be paid to the faculty member upon retirement, resignation, or dismissal.
